Through Timesheet Unit you can manage your Tasks and Expenses relevant to Project Work Packages that your manager has assigned to you.

Timesheet View

  1. If you want to access the Timesheet Unit, go to My Comidor > Tasks >Timesheet.

The Timesheet consists of the Filters area and a Weekly Calendar into which you can add, view, and manage your (all) Processes’ Tasks and Work Packages’ Expenses. Especially from Timesheet, you may track hours spent in Processes (Generic Processes, WorkPackages, Events, Trainings, Job Posting, Ticket, Opportunity, Campaign) or track expenses of WorkPackages.

  1. Timesheet Filters are common for Tasks and Expenses.
    • You may Search Processes by Title or with Process Type or by selecting one Process of the list-when clicking on the Process drop-down list you see only the Processes which your manager has assigned to you.
    • Account: Clicking on Account drop-down list you see only the Accounts relevant to at least one Process that someone has assigned to you.
    • Check Processes that are Assigned to you (Mine), to your team (My Team’s), to either you or your team (Assigned to Me or My Team), OR Created by you (Created by Me). Also, you may filter the booked this week, too.
    • Also, you can Sort them by Booking create date, Process Name, most active Process, or Due Date.
    • View only Task type such as Normal, Overtime Hours, Sunday, Saturday, Nightwork, Public holiday work, Personal holiday.
    • View only specific State of Task or Expense.
    • You can select to Hide empty rows; allows you to view only the Processes which have already created tasks or see all of them in order to add a new task to empty Processes.
    • Hide auto book will hide all the Projects’ Work Packages, which were automatically booked to you – without an accepted Booking request from your Manager-.
    • Finally, the clear button erases all the used filters, while the Fetch button displays the respective tasks or expenses.

Anytime you wish, you can hide the filters by clicking on the respective icon ‘-‘, to focus on the Tasks or Expenses displayed at the below Weekly Calendar. If you want to apply different filters, you can click on the plus icon ‘+’, change them and click Fetch.

Timesheet v.6.2| Comidor Platform

  1. Weekly Calendar can switch between Processes’ Tasks Calendar and Work Packages’ Expenses Calendar through the Tasks and Expenses buttons, respectively. At the top-right corner of the calendar, there are arrows that enable you to navigate to different weeks. Today transfers you quickly to the current week.
  2. At the left side of the Calendar, you can see information per assigned Process:
    • The Process that the Work Package belongs.
    • The name of the Work Package
    • Account name, if Process is associated with an Account
    • Process due date
    • Personal Workload is the actual duration of tasks performed by you below this Process.
    • The workload is the scheduled duration of tasks below this Process.
    • Today’s date is light-yellow highlighted, Absence days are highlighted in Yellow and Public holidays days are highlighted in light blue.

 

Tasks in Timesheet

Add a new Process Task

  1. In order to add a new Task, go to Modules Menu Icon > Enterprise Collaboration >Timesheet.
  2. Ensure that you have selected the Tasks tab.add task to timesheet v6.2 | Comidor Platform
  3. Find the Process and the Date of your task at the Weekly Calendar and clicking on the respective cell. A cell form appears. In this form, you fill in:
    • the task title as a brief description of what you have done.
    • the scheduled task duration. There are two ways to populate the duration of your task. You can either type the exact duration and use the arrows button to increase/decrease the duration, or click on the plus icon and enter the start and end time.
    • Finally, fill in the actual task duration.
    • Click outside the cell to save the task.

Especially for pre-booked WorkPackages’ Tasks, scheduled duration may be already added and task already created. Read how to manage a Task below.

Furthermore, at the Tasks Weekly Calendar, the column of a specific date might be yellow or blue. This indicates that there is a scheduled absence day or a company holiday, respectively. Adding a task on a company holiday or a scheduled absence the system informs you with a relevant pop-up message at the top of your screen.

 

View/Manage Process Tasks

  1. In order to view or/and manage Process tasks, go to My Comidor > Tasks >Timesheet.
  2. Ensure that you have selected the Tasks tab. Here, you can see all your existing Process Tasks on your screen based on your used filters. Process Tasks may have different colors: White for tasks that are not completed and they are the only ones still editable.
    • Light blue-grey, if the user has completed the task
  • Light green, in case, that the project manager(s) have approved a completed task.Timesheet v6.2| Comidor PlatformTimesheet v6.2| Comidor PlatformAt the bottom of the Tasks Weekly Calendar, users can see the total scheduled duration and the total actual duration per date.
    • Then, check the Remaining capacity for a respective date by hovering your mouse above the date. Weekly capacity is also available.

4. Click the specific cell form in order to change any information you wish.

5. After editing you can either complete or delete the specific task from the cell’s check button or erase button, respectively.

6. By pressing Copy Day or Copy Week, you may copy tasks to the following days/weeks.

Once you complete the task you cannot do anything to change it from the Timesheet Unit.

While a task state is changing to complete, you also cannot change any field of the task cell form. Otherwise, a relevant message appears on the top of your screen.

Expenses in Timesheet

Add a new Work Package Expense

To add a new Expense:

  1. Firstly, go to My Comidor > Tasks >Timesheet.
  2. Ensure that you have selected the Expenses tab.manage an expense in timesheet v.6.2| Comidor Platform
  3. Then, find the Work Package and the Date of your expense at the Weekly Calendar. After, click on the respective cell and a cell form will appear. In this form, you fill in:
    • the expense title, briefly describing the reason for your expense.
    • the expense amount. You can type a specific amount or/and use the arrows to increase/decrease it.
    • the expense type, selecting among the choices of the drop-down list.

If you want to change the expense type, you can click on the cancel (x) button and select a different one from the drop-down list.

 

View/Manage Expenses

To view or/and manage work package expenses:

  1. Go to Modules My Comidor > Tasks >Timesheet.
  2. Ensure that you have selected the Expenses tab.

    • either white for expenses that are still editable,
    • or light green, for expenses that the project manager(s) have approved.
      • At the bottom of the Expenses Weekly Calendar, there are total expenses per date.
  4. Find the expense you wish to manage based on its Work Package and Date.
  5. Then, click the specific cell form and change any information you wish.
  6. After editing, you can either cancel the specific expense or upload a receipt using the cancel (x) button or the upload button, respectively.
    • People’s Managers in the Team Task Approvals unit will review all Tasks of Processes that you add via Timesheet.
    • People Managers and Project Managers will see Tasks of Project’s Workpackages in Team Task Approvals unit and Task Approvals respectively.
    • Project Managers will see Expenses of Project’s Workpackages in the Project Expenses Approvals unit.

Comidor Mailbox enables you to communicate with both Colleagues and non Comidor users. The Comidor Integrated Mailbox server lets you connect as many accounts as you wish, manage them separately and send and receive Emails. Comidor Mailbox has many standard Email functions (create new, forward, reply, delete, link, attach files, etc) as well as extra functions such as attaching signatures, marking Emails as important when sending, various confidentiality options, out-of-office message and online HTML editor). Save email templates that are used regularly and then use them to quickly send emails and save emails as drafts to send later.

  • Internal messages can still be sent to colleagues if emails are not connected to Comidor
  • Link the email account to Comidor to send Notifications & Reminders to non-Comidor users
  • Link the customer support email account with Comidor to receive Tickets from customers or link the marketing email to send Campaigns and Forms
  • To fully utilize the activity stream within the Workbench connect the Email address to Comidor

Connecting your email accounts

  1. There are two ways to link the Email address with Comidor:
    • Basic Email linking
      • In the top right of the screen click on the user’s Settings and then click Profile

    • Secondary Email linking method: (available when an email is initially linked to Comidor)
      • From the Modules Menu Icon go to Workplace > Mailbox

      • Click on New email on the top right side of the screen
      • A new pop-up window will appear prompting you to link your email address. Click Link account to continue
  1. In the left panel click on Manage emails and then click Add new

  1. Add the following information:
    • Email address (of your existing email address)
    • Password (of your existing email address)
    • Email type: Select between Private account and Company Account options
    • Host, Port, SMTP Host, and SMTP Port, Protocol and SMTP Protocol (Information about these settings and what they mean is displayed on the page)
      • If an email client is not listed ask the IT Administrator or Email provider about Ports numbering and enter it manually. These fields are important and must be correct otherwise you won’t be able to send or receive emails
    • Remove emails from the server: Choose the length of time after which Emails will be deleted from the Comidor server (1 Day, 3 Days, 1 Week, Never)
    • Default account: Choose whether the email should be the default choice when composing a new email
    • TLS Required (Email provider should advise whether this security option is required)

Click on Test connection button.

  1. Click on the Save button in the top right of the screen to complete the linking of the Email address to the Comidor account. If you do not save your Email address at this point you will need to restart the Email linking process. If you have followed these steps correctly you should now be able to see the added email on the My Emails view.

Setting up your email accounts

Comidor supports all standard Email functionalities. To use all of Comidor’s additional Email functions connect the Email address to the Comidor account.

  1. From the Modules Menu Icon go to Workplace > Mailbox
  2. On the top right side of the screen click on the Actions Icon
  3. Click on Settings to customize the Email Settings of the Comidor Email accounts
    • A new pop-up window appears with the pre-selected Email Settings tab

    • Access the Email Settings through the user’s Settings button in the top right of the screen: click on User Settings then click Settings.

  • Select the Signature tab and set the signature to be placed at the bottom of the emails
  • Tick the box to set the signature by default
  • In the HTML Editor customize the Emails with different colors, highlights and fonts and add images and links

Setting confidentiality signatures (available only to System Administration users)

For System Administrators the option to set confidentiality signatures is available. There are three initial templates (restricted, confidential, secret) and these can all be used when sending Emails. Select Restricted Template. Write the standard text which will appear on all Emails of this classification. Do the equivalent for other confidentiality levels from here.
From the Actions icon on the top right side of the screen you can:
  1. Click Print to print the current table of the Mailbox displaying at that time
  2. Click on Auto reply to set up an automatic reply to messages when out of office

Setting your Auto Reply

Set an out-of-office message for a specific or non-specific time period.

  • Select Auto-reply and fill in the time period that it relates to. Choose the Email addresses from which the auto-reply messages will be sent
  • Customize your autoreply message. With the rich editor, you can now format your message as you wish. Then click OK to save the message
  • Deactivate auto-replies by revisiting the page and complete the ‘to’ box with the current (or any previous) date

Sending Emails

Comidor’s Mailbox allows you to connect your Emails (company email, personal emails, etc.) and communicate with anyone regardless of whether they are using Comidor or not. Users are able to view their emails grouped by importance.

  1. From the Modules Menu Icon go to Workplace > Mailbox
  2. In the Unit Title Bar, there are the option buttons to send internal or external emails

Sending an External Email

  1. Click on the New Email button to send an email to people outside the company
    There is also an option to send an external email via the Workbench
  2. Select the Email to send the external mail from (all Email addresses that have been connected to Comidor will be displayed)
  3. Check the importance box or request read receipt box

  1. Choose an option from the Confidentiality signatures list (Unclassified, Restricted, Confidential, Secret)
  2. Add Email recipients by entering their addresses in the ‘To’ box. For Emails to other Comidor users type their name and their email will automatically be entered
  3. Add a Subject and then click on CC and/or BCC check boxes to enable CC and BCC fields
  4. Click on the Group checkbox to send an email to Contacts (or Accounts or Leads) that are filtered or grouped with criteria. Select the group and the Date and Time to send this Email to (non-obligatory fields)
    • Addresses of the recipients within the selected group will be applied automatically to the ‘To’ field. Add more groups as required. Remove individual recipients from a group using the ‘To’ box

  1. Click on the Attachments Icon to attach files
  2. Select a template to send an Email with text/content that is used frequently
  3. Check/Write/Edit/Add more text in the Message box
  4. Click Send to send the Email. Or save the Email as a template for future use (click Save as Template). Click Clear to restart the Email or Cancel Email procedure and exit Mailbox.

Sending an Internal Email

  1. Click on New Message to send a message internally to Comidor Users. Start typing the colleagues’ names to send them an internal message.

  1. Select a group or multiple groups from the ‘To group’ list to send the internal message to multiple recipients. Once a group is chosen the members will be automatically added to the ‘To’ field
  2. Add the email Subject and click on Attachments to add files

  1. Check/Write/Edit/Add more text in the Message box
  2. Click Send to send the message. Or save the message as a template for future use (click Save as Template). Click Clear to restart the message or Cancel message procedure and exit Mailbox

 Checking Your Mailbox

  1. Click on Modules Menu Icon > Workplace > Mailbox
  2. See all the messages from the internal inbox and all external mailboxes. Click on:
    • Priority Inbox to see Internal messages from other Comidor users and External messages from those added to Contacts /Accounts
    • Inbox to check all Emails from non-Comidor users
    • Spam (junk email) to see unsolicited messages sent in bulk by email
    • Archived to check archived Emails
    • Sent to see messages and Emails that have been sent
    • Outbox to see the emails that have been scheduled to be sent
    • Saved to see all the saved Email Templates and Drafts
    • Trash to see all emails that have been deleted. Internal emails cannot be sent to Trash
    • Personal folder into which important emails can be dragged and dropped. Click to create, rename and delete sub-folders

 Managing Emails

  1. Click on Refresh to refresh the Mailbox. Find an Email by searching for the recipient or subject. Apply any other filter to filter the Emails by Subject, Sender, Sender Name, Creation Date, Creation Time, Send Date, Send Time, Direction, etc. In the Advanced search drop-down list, saved filters will appear for future use. See more on how to use and save Filters in Data Management
  2. Click on a Column name (Name, Subject, Sent to, Attachment) to apply sorting or click the Pin button to select the column(s) that will be visible. Deselect the columns not to be shown
  3. From the list view of the messages select one or multiple Emails and then:
    • Reply to the selected Email (only works if one Email is selected)
    • Forward the selected Emails
    • Archive the selected Emails
    • Link the Emails with another object inside Comidor
    • Mark as Read
    • Mark as Unread
    • Move to Spam
    • Move to Priority Inbox
    • Restore Emails from the Trash folder to the inbox folders
    • Individual forwarding (Forward multiple or one email to any sender as separate emails)
    • Mark as Complete: mark the email(s) as completed so they are not visible on the Workbench’s Activity Stream or Notifications Bar
    • Mark as Incomplete: mark the email(s) as incomplete so they are not visible on the Workbench’s Activity Stream or Notifications Bar
    • Merge and Save: merge multiple selected emails into one file which will be saved in Comidor Files
    • Move to trash
    • Tag
    • Remove Lead: Remove the email sender/recipient from Leads
    • Create Leads: Add the email sender/recipient to Leads

  1. On the right panel of the screen click on the user’s Settings and then click Profile
  2. Select Manage emails and then the Email account to delete. Click on Delete to delete the email account. A pop-up window appears asking for confirmation

Email Templates and Drafts

To respond quickly to multiple Emails with the same text Comidor offers an Email template function. Save Emails as drafts and complete them at a later date.

Load a saved Email Template either when creating a new email from scratch or when replying to / forwarding an email.

  1. From the Modules Menu Icon go to Workplace > Mailbox
  2. From the Unit Title Bar, there is the option to send internal or external emails
  3. Click on New Email to compose a new Email. Type in the Template name and the template text in the Message box which will form the Template
  4. Click on Save as Template on the bottom right of the screen
  5. View all the Email Templates that have been created

  1. When creating a new email, or replying to/forwarding a received email load the template from Email Templates by clicking on the Template list field.
  2. After selecting the template it will be loaded into the blank Email

Saving an email as a draft

  1. When creating a new email, or replying to/forwarding a received Email click on Save as Template in the bottom rightsaved emails v.6| Comidor Platform
  2. Click on a Draft Message to edit or delete it
    • Edit a Template and then apply changes to the draft and Send
    • Or Delete Template, the draft from the Saved folder.
  3. Click on the Save button on the top right of the screen to save the email account. It is very important to save the procedure after successfully establishing a connection
  4. View the added email on the My Emails view on the screen

Comidor provides the ability to create and manage events where users can confirm their participation. Events are a different type of Process and repetitive Events can be automated with the use of Process Templates and Process Scheduling.

By confirming participation in an Event a new Task will be added to the Calendar.

Events are placed in the Calendar in a different color from the Tasks.

Create a new Event

  1. Go to Workplace > Events
  2. Click on the + Icon to create a new Event
  3. Complete the Basic info:

  • Create a Title which will be recognized by the users participating in the event
  • Select a Business category (this list comes from the Processes categories)
  • Add a Location for your Event
  • Add a small Description
  • When creating the Event, the state of the Event will be as Confirmed by default. Users can change the state manually to Running, Completed, etc as the Event progresses
  1. Add Scheduled Start and end dates and times. Click on the Calendar to add the hours
  2. Connect the Event to an Account. Fill out the Functional Group, the Division and the location where the event will take place
  3. Select the desired Save option (refer to Quick Reference Guide)

  1. Invite the Participants (Comidor users) and send them an email to add the event on their Calendar

3. To invite non Comidor users, press Send Email Invitation and choose from the list of your contacts. An email will be sent to the contacts with information on the event and the link to join the event

On the left side, you can see the public chat, notes, and participants. The presenter can share his screen, a video link, or  a presentation. There is the option of Whiteboard to write something down during the presentation. A polling option, and take over the “presenter” option are available, too.

Edit an Event

  1. Go to Workplace > Events
  2. Click on the Event to edit from the Event list

  1. Click on the Pencil Icon on the top right of the screen to edit the Event
  2. Make changes to the fields that were explained in the Create an Event section above. Select the desired Save option (refer to Quick Reference Guide)

View and Manage an Event

  1. Go to Workplace > Events
  2. From the list of Events click on the Event to view or manage
  3. This will bring up the Summary tab of the Event where you can view the Basic Info and Dates. On the right panel, all the users that were invited to participate in this event are displayed. Select to Confirm, set as Maybe, or Decline your participation

  1. On the top right part of the page, users can post Notes about this Event. Users that have the right to view the Event (the ones who are about to participate) can also read any Notes inside that Topic

    • Users can click on Refresh to see new comments; click on Show More or Show Less to expand or reduce the number of comments on view
      • When a new comment is added users will receive notifications in the Notifications Bar about these comments
  2. From the Event-calendar users can monitor all the tasks related to this event. From the top right buttons, users can select to view them either by month, week, or day

  1. Users can easily create smaller processes for the Event in the Subprocess section

Just click on the + Icon button and fill the required fields in the pop-up window that appears.

The sub-process will need a title, start date, and end date. The Event the user is in is set as the Parent process by default and automatically links the subprocess to the Parent. The user can set the importance status, relate this sub-process to an Account, and attach a file to it

  2. Click on Notifications to see all the Reminder – notifications regarding this specific Event. The notifications will refer to Event completion, Event start, Event delay or time before its start. View the notifications’ date and times sent and whether the Notification has been read and removed. The Notification can also be Deleted
  3. Click on Tags and Links to attach a Tag to this Event or link it with other Comidor entities such as Accounts, Contacts, Projects, Opportunities, Messages, Files, etc or select any other option from the Actions Icon on the top right

  • Delete the event. A confirmation pop-up message appears
  • Create a new Link in this Event. Link it with other Comidor entities such as Accounts, Contacts, Projects, Opportunities, Messages, Files, etc
  • Create Notifications that will be sent together with a message to all the participants in the Event

  1. Go to Workplace > Events
  2. From the list of Events select the Events to manage

    • Create a new Link in this Event(s). Link it with other Comidor entities such as Accounts, Contacts, Projects, Opportunities, Messages, Files, etc
    • Delete the selected event(s). A confirmation pop-up message appears
    • Export the selected Events to.ics. This means that you can sync the events with Microsoft Outlook

Comidor Tasks offer a reliable and transparent approach to Task Management. It manages personal tasks, team tasks, assigned tasks and tasks assigned to other users. All Comidor tasks can be managed, even if they have been created using another Comidor unit (Quick Adds or Calendar).   

View Tasks from the Workbench and the Calendar from the Notifications Bar.

Tasks can be created for completing a one-off task, e.g. write a report on the impact of GDPR. A task like this can be created by a manager and assigned to a user or can be created by individual users themselves. The task will appear in the user’s Timesheet and time spent on the task can be allocated against it.

Tasks can also be linked to a Process. A process is a course of action that can be assigned to and completed by multiple users, teams and groups. Processes are made up of multiple tasks. If a Process has no Tasks then there are no actions to complete the Process.

Create a Task

  1. Go to Modules Menu Icon > Tasks > Tasks
  2. Click on the + Icon at the top right of the screen to open the Create Form
  3. Create a title for the Task and fill in the Basic Info.
    • Assigned to: choose the assignee from the users/group leader/group/role and the user responsible for completing the Task
    • Choose the Priority of the task ( e.g. Low, Normal, High, Top)
    • Define the scheduled start and end date and time
      • Task Date Control informs when the assignee of this task already has other tasks to do on that day and the duration of those tasks. Task Time Control warns in the event a new task overlaps with an existing one
    • Define the work hours needed for the completion of the Task (Scheduled Duration). If the task is assigned to a user a timeframe is suggested which calculates the duration depending on this user’s schedule (based on the Region code) and excludes public holidays
    • Select from the list the appropriate activity that relates to the Task.
    • Select the Process that relates to the Task and Account

  1. Fill in the Additional Information

  • Responsible Group: choose the department responsible for supervising the completion of the Task
  • Task Type: choose the type of Task (e.g. Work, Appointment, Meeting, etc.)
  • Work type: By default it is Normal, but you can also use Overtime hours, Saturday, Sunday, Night-work or Public Holiday work
  • Check the box “Out of office“ if the Task will take place away from the office
  • Check the box “Important“ to set this Task as high importance
  • Parent Task: The Task can be a part of another, larger Task. Enter the Parent Task here
  • Contact: select the Contact (if applicable) that relates to the Task
  • Location: select the location that the task will take place
  • Fill in the Scheduled quantity of the units after the Task is completed
  1. Use the Description Box to write down the information of the Task
  2. Execution details will be filled in the future when Task starts
    • Select the correct State
      • The Execution Date and Duration will be automatically completed according to the Scheduled start and duration
      • The Execution End date will be automatically completed when the task is Completedstatus of a task v.6.2| Comidor Platform
  3. Comidor allows you to set repetition of the Task (in minutes, hours, days, etc)

Click on the Checkbox to create all the repeated Tasks. If none of the choices are checked the next task will be created every time the previous Task is completed or canceled. Choose:

  • Minutes to repeat the Task per set minutes
  • Hourly to repeat the Task per set hours
  • Daily to repeat the Task per set day
    • Exclude weekends by choosing Every weekday
    • Choose an “every 2 weeks” repetition by selecting “Day 14 of every 1 month”
    • Or a “last day of the month” repetition by selecting “Day L of every 1 month”
  • Yearly to repeat the Task on a specific day of a given year(s)
  • Weekly to repeat the Task on a specific day of the week
  • Monthly to repeat the Task on a specific day of the month
  1. Add the Reminder’s informationReminder task v.6.2| Comidor Platform
  • Choose when to send the notification (On Task Completion or On Task time). Or select when the reminder should be triggered (Number of Days/Number of Hours/Number of Minutes delayed or before the Task completion/Task time)
  • Select the user to whom the reminder will be sent
  • Check the Email and/or SMS box if the user is to be notified via email and/or SMS
    • Email reminders will be sent provided that the email account is connected to Comidor. SMS reminders will arrive provided the recipient user has set a Mobile phone in his Personal Profile
  1. Use the Report Box after the completion of the task to write a report
  2. Select the desired Save option (refer to Quick Reference Guide)
  3. If the assignee for the task has another task at the selected scheduled start date and time a warning message will appear

You can also create a Task through the Quick-Add menu.

Edit a Task

  1. Go to Modules Menu Icon > Tasks > Tasks
  2. Select the Task to edit
  3. Click on the Edit button to open the Edit Formedit a task v.6.2| Comidor Platform
  4. Edit the information (all the fields explained in Create a Task section) you want and click the desired Save option (refer to Quick Reference Guide)

When the scheduled duration of the Task is changed a message appears asking whether to change the execution duration as well

View and Manage a Task

  1. Go to Modules Menu Icon > Tasks > Tasks
  2. Click on a Task to view its Detailsview&manage task v.6.2 | Comidor Platform
  3. View the Summary of the Task:
    • Basic info of Task (Assigner and Assignee, Scheduling info and its related Process) and Additional Info
    • The Description of the Task
    • Scheduling and Execution details with any Repetition plan added
    • Upload related files straight from the Desktop, an existing Comidor file or by clicking on the button to attach a File URLAttachment - task v.6.2| Comidor Platform
    • Users that have the right to view a Task (Users or Group Leader, Users in Groups or Roles that are assigned to contribute on this Task and Task Assignee) can also read any discussion inside that Task in Notescomments - task v.6.2| Comidor Platform
    • Add a Comment using a simple or enriched HTML Editor (Open editor)
    • Click on Refresh to see new comments. Click on Show More or Show Less to increase or reduce the number of comments on view
    • Only assignee (user/users inside the group/group leader(s)) and assigner will receive notifications in the Notifications Bar about these comments
  4. From the side-bar choose the Tab:
    1. Click Notifications to see all the System Notifications that have been sent to the Notifications Bar of other users. Check whether Notifications are still active
    2. Assets, which may be human or non-human Assets that could be used upon this Task completion. Book a new Asset by clicking on the + Icon. A pop-up window opens to choose a resource and book it automaticallyselect an asset v.6.2| Comidor Platform
    3. Create a new sub-task by clicking on the + Icon. Scheduled and Execution duration of the sub-tasks you create will be available on Task View Form to help calculate the overall Tasks’ durationsubtasks - task v.6.2| Comidor Platform
    4. Click on Tags and Links to add a Tag to this Task or Link it with other Comidor entities such as Accounts, Contacts, Projects, Opportunities, Messages, Files, etc
    5. To complete a task that has sub-tasks finalize the sub-tasks (either complete or cancel)
    6. Choose the Print icon to open the Task in a new tab to print it. Follow the browser’s default printing procedure
    7. Click on the Actions Button in the Task and a list of additional options will also appear.additional options - actions tab tasks v.6.2| Comidor Platform
  • Refresh the Task to view instant changes
  • Delete a Task. A confirmation pop-up box appears
  • Choose Copy to copy the Task. A new create form will open. Previous information about the Task will remain. Fill in the additional fields
  • Choose Print to open the Task in a new tab to print it. Follow the browser’s default printing procedure
  • Link the Task with other entities (Contacts, Accounts, Emails, Opportunities, Tasks, Files, etc)
  • Click on Notify to notify specific Comidor groups or Comidor users or external recipients via Email Notifications
  • Choose Schedule Notification to set a new Reminder for a specific user upon this Task. A pop-up window appears
    • Click on when the notification should be sent (On Task Completion or On Task time or when Task is a Number of Days/ Number of Hours/Number of Minutes delayed or specific Number of Days/ Number of Hours/Number of Minutes before the Task completion/Task time
    • Select the user to send the reminder to. The Reminder will arrive in their Notifications Bar
    • Check the boxes Email and/or SMS to notify the user via email and/or SMS
    • Click Save to send the notification or Cancel to go back to the View Form or close the window (X)schedule notification - task v.6.2| Comidor Platform
    • Users can view the Reminders already set through a side panel in the Task in the Notifications section. The Reminder can also be deleted
  1. Click the Complete button to complete your pending task. In case you want to change the task state click the “… button” to select the desired state: Start, Complete, Cancel or Pause. change task state v.6.2| Comidor Platform

When in an Upcoming Task or an Overdue Task:

  1. Set Task state as Complete, or Paused. Each of these states has a pop-up window that prompts the user to fill in execution info and completion percentage. Resume completed and paused tasks.

In a Task that is Running:

  1. Click to set a Running Task as Completed
    • A pop-up appears asking for execution information which the user should save
  2. Or choose to set Task state as Paused.

When in a Completed Task choose to set the Task as Scheduled or Paused. Each of these states (except Scheduled option) shows a pop-up window that prompts the user to fill in execution info and completion percentage.

In a Task that is Paused:

  1. Choose to set the Task as Scheduled, or Completed. When you choose to complete the task a pop-up window shows,  that prompts the user to fill in execution info and completion percentageschedule - complete a task v.6.2| Comidor Platform

In a Canceled Task, there is no option to restart or set the task as scheduled.

Managing a Group of Tasks

  1. Go to Modules Menu Icon > Tasks > Tasks

  1. Click the Checkbox next to the Task(s) to Manage
    • Reassign many tasks at the same time to a specific User/ Group Leader(s)/Group. A pop-up appears to choose the new assignee
    • Easily Change the state of many tasks at once. A pop-up box appears to choose the state
    • Easily assign a Task or multiple Tasks at once in a Process or change the Process that was selected. In the pop-up that appears select the Process and click on Ok
    • Choose Copy to copy ONE task and a new create form will open. Previous information of that Task information will be populated and additional fields can be filled in
    • Click on Delete to Delete a Task or multiple Tasks at the same time. A confirmation pop-up box appears
    • Choose Link with to Link the Task(s) with other entities (Contacts, Accounts, Emails, Opportunities, Tasks, Files, etc.)
  2. Click on the Action Icon on the top right of the pageActions tab - task v.6.2| Comidor Platform
    • Click on Export to open or download the current page or all the Task(s) in an MS Excel file. Click OK to proceed. Also, export the page from the other views of the Tasks (2D Analysis/3D Analysis)
    • Click on Print to print the current view of the page
    • Click on Import Tasks
      • Choose to import tasks from Google Calendar. Click on Login to add the credentials. Change the accessibility to Public or Private
  3. Click on Reports to open Tasks Reports tabreports - task v.6.2| Comidor Platform
    • In Tasks Reports, you can check already-made Reports, such as Tasks per User or User Group, Tasks per Process or Project, etc.  You can then apply multiple filters depending on the selected Report and finally check results in a Table view. Comidor provides a fully interactive calendar where you can monitor your activities (tasks, meetings, assignments, events, etc) and orders (assigned tasks) on a daily, weekly or monthly basis. You can view your group tasks and the organizations’ non-private tasks. Comidor Calendar offers a workload overview for an individual or a team in terms of time which enables improved scheduling.

Comidor Tasks is an alternative way of monitoring and viewing your Tasks.

You can also view and monitor your Calendar from Workbench and Notifications Bar.

To access the Calendar go to Workplace > Calendar.

 

Views (based on time period)

By default, the pre-selected view for the Calendar is in a monthly schedule, but weekly and daily schedules are also available

Navigate through previous or following weeks/months by clicking on the arrows on the top right of the calendar. Navigate back on today’s tasks by clicking on Today.

  1. Click on Week to see Tasks for the current week

You will see tasks of the current week and you can still navigate to previous/following weeks with the arrows

  1. Click on Day to see Tasks in a daily view. Navigate to other days with arrows
    and move back on Today’s tasks by clicking on Today, to move to other days with arrows, and move back on Today’s tasks by clicking on Today, too.

Views (based on status)

The calendar has two distinctive views:

  • All tasks: View all tasks and orders regardless of their state (completed and pending)
  • Only pending: View only the pending scheduled tasks/orders

Views (based on accountability)

The Calendar has different views depending on the accountability of the tasks. The default view is where users see the tasks assigned to them regardless of the groups they belong to.

  1. Click on Assignments to see the tasks that you have assigned to other Comidor users. Select the user to whom you would like to see the assignments you assigned and view the assigned tasks.

Users names displayed will be only from users that are members in the same groups as you in the Organizational Chart.

  1. Click on Personal/ Group to see the tasks that are assigned to a group(s) that you are a member of. If you are a member of multiple groups, there is a list where you can select one from the groups you are a member of 
  2. Click on Supervised by Group to view tasks that have been assigned to a group that you are a member of. If you are a member of multiple groups a list will be displayed where you can select the group 
  3. Click on All to see your tasks, your assignments, your group tasks, and tasks supervised by your group(s)

Colors

Every task has a specific color on the side (indicating task status) and can also have a different text color (indicating the type of task).

Side colors:

  • Orange: Scheduled (overdue or due today)
  • Running: Blue
  • Green: Completed
  • Purple: Scheduled (upcoming)
  • Grey (paused)
  • Yellow: on Leave

When you cancel a task the whole task is greyed-out. Events are displayed in light red and a task is displayed above them where you have chosen to participate.

Create a Task from the Calendar

  1. From the Calendar view click on a specific date that you want to add a task to
  2. A pop-up window appears with a quick form to add a new task

  • Add the title of the task. This is one of the mandatory fields in order to save the task
  • Select who will do this task from the drop-down list (Assigned to). You can select users, group leader, or group. If you select a group from the group leader options, this task will be assigned and added to this group’s team leader(s) calendar. Should you select a group from the group options, this task will be assigned and added in the group members’ calendar
    • In the event that a group has more than one group leader, this task will be assigned and displayed in each group leaders’ calendar
    • When a task is assigned to a group, this task will be displayed in group members’ calendars
    • For each specific user, you are selecting, a message appears detailing the number of hours that the user is engaged in other tasks
  • “Supervised by” will be the group that will supervise the execution and completion of this task
  • Task type – select from Work, Appointment, Meeting, Event, Phone, Reminder, Travel, or Private Task
  • Fill in the scheduled start and end dates ( ) and times ( )
  • Scheduled duration will be the time that you think this task will last; the suggestion of the calculated duration is given based on Personnel (Assignee) Schedule
  • Link this task with a Process, Account, and Contact simply by clicking on the magnifying glass icon to search and find
  • Add a Description for the task
  • Click on Save and see the task displayed in the Calendar

Edit a Task from the Calendar

  1. From the Calendar view, click on a task that you want to edit. You can view information about the task status, scheduled duration, task assignee, related account name, suggested scheduled start time and date, and task title

  1. A pop-up window appears.
    • Click on Start to confirm that the task started at the suggested scheduled date and time or
    • change the actual starting date and time and then click Start or
    • Click on the Start Now button at the case that you have just started the task

The task status will change from Scheduled to Running.

  1. If you need to pause the task click on the task in the calendar and in the pop-up window that appears, fill in the actual duration to-date and click on the pause
  2. To re-start a task that has been paused, click on the task in the calendar. Then in the pop-up window that appears you can either press Start if the task has started on the suggested scheduled time and date, or change accordingly and then click on Start
  3. When you want to set a task as complete, click
    • Complete Now, if you finished the task in the suggested scheduled time and date, or
    • Fill in the correct end date and time and click on Complete
  4. To view any task or edit the details click on it in the calendar view and then press View/Edit Task to View the Task in Tasks Unit

Cancel Task button will change the task status to Canceled

Delete Task button will delete the task.

Click on X to exit the pop-up window.

When a user has assigned a task to you the delete option is not available.

  • Click on the “Get your Public Calendar URL”
  • A pop-up appears where you can copy the Public Calendar URL of your user. Click “Copy URL”

  • Then, go to the Calendar you would like to sync (e.g. Google Calendar, Outlook Calendar, etc.).

Comidor Notifications and Reminders (N&R) form the backbone of Comidor Communication. While Comidor offers many standard communication tools (Emails, internal messaging, instant messaging, video calling), the Comidor N&R system puts these all into effect by delivering instant notifications.

Notifications Bar

The Notifications Bar is where you will be notified of any update regarding:

  • A specific task
  • New messages
  • New Emails
  • Colleagues that are on absence

When an icon is orange you have a new notification.

inform you when someone adds a new task/process, when
a task/process is due to start when someone has shared a
folder with you, or when an existing task/process has been
completed. Reminders will also be displayed here. These Notifications
are also displayed in the Workbench Activity Stream.

Configure the type of Email Notifications you wish to
receive in User Settings.

  1. Click on the Notifications icon to view System Notifications. Choose a Notification and it will redirect you to the Comidor object’s page. Press ‘x’ to close the menu.

You can restore or see deleted Notifications from the Notifications unit: Workplace > Notifications

2. In Messages, you can see unread Emails and Messages

    • Click on Today to see Emails and messages which you have received today. Past shows Emails and messages received on previous days. Outbox is Emails which have been scheduled to be sent in the future
    • Click on an Email to read it and on the completion icon to set it as read and completed. This will remove the email notification from the infobox. It will still be available for you to read in your Mailbox. You also can Mark all as read and completed. You can undo this and mark them as unread or incomplete at a later date if you wish

messages v.6.2| Comidor PlatformBy default, you only see notifications for the Messages and Emails that you have received in the Priority Inbox of your Mailbox. If you wish to receive notifications from the Inbox of your Mailbox as well you can configure this in User Settings.

3. Click on the Calendar icon to view your Calendar.

    • The Calendar gives a day by day, week by week or for the whole month view of your tasks, meetings, etc or . You can click on any task to see more information.
    • You can choose to view today’s tasks, overdue tasks or upcoming tasks. Click on the ‘√’ icon to set a task as complete.

4. Click on the Absences icon to see the colleagues that are on leave. You can choose to view the employees that are on absence today or any upcoming absences to delegate efficiently the tasks.

  1. You can create a Notification by selecting the menu option “Notify”. This option is available in almost all of the Comidor objects’ Actions Icon (Tasks, Opportunities, Projects, Processes, etc)

    • Add the Notification Message
    • Select the Users to notify from your Organizational Chart. You can also send the notification to a group of users
    • You can send the notification as an Email to people not using Comidor from any Email address you have connected to Comidor. Simply type in the recipient’s Email address
    • You also have the possibility to notify people by email. The system automatically sends an email to the email address that was registered in the system for the specific person.

2. Recipients will receive the notification in their Notifications Bar

Setting a Reminder

  1. A Comidor Reminder can be created for Tasks and any type of Process.
    • For Tasks – while viewing a Task record, click on the Action Icon and select
      Schedule Notification. You can set the reminder when creating a new task
    • For all types of Processes, click on the Action Icon and select Notify

  1. For Tasks, a pop-up window will appear. You can schedule the reminder to appear:
    • on Task Completion
    • On the scheduled task completion date
    • When a Task is a number of days/hours/minutes delayed
    • Any amount of Days/Hours/Minutes prior

You can select yourself and other users to be the recipient of the notification and choose between SMS or Email for how the notification will be sent.

For Processes, a pop-up window will appear. Choose for the reminder to appear either on the scheduled completion date or the number of days before/after the scheduled completion date. You can choose the recipient of the reminder and whether or not you want an Email to be sent also.

Previous Notifications

  1. From the User Apps Icon, go to Workplace > Notifications
  2. All system and notes Notifications that have been received can be viewed here and are ordered chronologically
  3. From the list view shown below, multiple notifications can be selected and have actions performed on them (such as delete or reactivate)

  • Click on Link with to connect selected Notifications with another Comidor object. You can link a Process, Task, or File, etc
  • You can also click on reactivate if you want to see Notifications again in your Notifications Bar

Design your Home Dashboard

To access the Home page at any point click on the Home tab in the opened apps or on the logo on the top left of your screen.

On the top right of your screen, click on the “edit” button to switch to edit mode view. If you are editing your Home Dashboard for the first time, you can also click the “Add Elements” option.

Your home dashboard is now in edit mode and you can add multiple tabs, application tiles, “quick add” tiles, graphs, images, labels, and text.

Drag and drop the tile you want.

  • Add an Application tile to your Home dashboard to quickly access a Comidor Unit or Custom Application.
  • In the pop-up window specify:
    • The title of your tile.
    • The description of your tile.
    • Check the checkbox if you want the tile to have a transparent background.
    • Background and font colors (choose from color palette).
    • The Font Size and the Text alignment.
    • Choose from the list of menu categories (e.g, Workplace, App Factory, Custom apps, etc) the Application Category that your app belongs to. In the category list, you can find all the menu headers and also all the packages so it will be more convenient for the user to find his custom applications
    • The Application you wish to access. The application can be a Comidor Unit e.g. App Designer, workflows, tasks, or a custom application that you have already created.
    • You can also upload an image from your pc. The image will be added to the tile background.
    • Click on Save Changes.

  • Add a Graph tile to your Home dashboard, to display a Widget.
  • In the pop-up window specify:
    • The widget that you wish to display from the list of all Widgets.
    • Click on the Funnel Report check if you wish to add a Funnel Report with your sales opportunities.
    • Click on Save Changes.

Graph Tile | Comidor

  • Add a Quick Add tile to your Home dashboard for quick initiation of a Custom Application.
  • In the pop-up window specify:
    • The title of your tile.
    • The description of your tile.
    • Background and font colors (choose from color palette).
    • Choose an existing Template from the list, and the respective form will appear.
    • The Application you wish to initiate. The application can be a Comidor Unit e.g. App Builder, workflows, tasks, or a custom application that you have already created.
    • The quick add form; this form will be the one to start this application.
    • The action to send an email or message.
    • Click on Save Changes.

  • Add a Media tile to include an image in your Home dashboard.
  • In the pop-up window specify:
    • The image URL that you wish to display.
    • OR upload an image from your local storage.
    • Link to an app or a video
    • Click on Save Changes. After you save, the user will get an embedded view of the video.

  • Add a Label tile to your Home dashboard, to display text information in your dashboard.
  • In the pop-up window specify:
    • The title of your tile.
    • The description of your tile.
    • The URL to direct you to the site you wish.
    • Background and font colors (choose from color palette).
    • The Font Size and Text alignment.
    • Click on Save Changes.

  • Add a Text tile to your Home dashboard, to display a specific message to the dashboard.

  • You can also delete, edit or copy an element, in edit mode, by clicking on the respective button.

  • Create multiple tabs to organize your tiles in the way you wish, combine different data sources, and get deeper insights.
  • Click on the “+” icon on the tab to create a new one.
  • Click on the pencil button to rename the tab.
  • Drag and drop the elements you wish inside each tab.
  • You can also delete a tab by clicking on the “x” button.

Navigate Home Dashboard

After designing your Home Dashboard, you can see all the “graph” elements with real-time data, and can click on the “application” and “quick add” elements. You can also switch from one tile to another to view the respective elements.

Additionally, the Menu Icon, AI Copilot Application Buider, Translation, Tooltip and Fullscreen icons, the search option as well as the notifications, messages, calendar and absences icons can be found on top of the screen. While using Comidor, these features will always remain at the top of the screen.

If you click on Help, a sub-menu appears where you can get useful information about the platform.  You can get redirected to the Comidor website for:

  • Comidor news
  • How-tos
  • Useful videos

The search feature allows for searching the entire Comidor application for any entity or object and also allows the search results to be filtered. By clicking on the Application tab the search can be expanded to include Memos and Files. After the search results are shown, the results can be filtered on the left-hand side and relevant results will show on the right.

Click on the Help Center tab, and type a keyword (e.g. Tasks). By clicking the enter key on your keyboard you will be redirected to Help Center at www.comidor.com.

If Comidor is active but you are not currently working, when a new notification is received within Comidor then a desktop notification will be displayed. These notifications can be configured within the browser settings.

Next to the notification bar, the user image will be displayed; clicking on it the User Settings opens. In User Settings:

  • Edit the personal information in Profile
  • Get information on your own account and all the available Comidor plans
  • Set up preferences in Settings regarding email or customize the Comidor Interface
  • Information about the Comidor version and site
  • Log out from Comidor

On the top right of the page, you can find the Notifications Bar. There are four icons and when a new notification is received an orange box appears next to the relevant icon. The four icons are:

  • Notifications
    • System Notifications – These inform the user when a new task/process is added; when it’s time to start a new one; when someone has shared a folder or when an existing task/process has been completed. Reminders will show up here as well. These Notifications are also in the Workbench Activity Stream.
    • News – When someone has commented on a specific Process or Task a notification will be displayed here. Notifications regarding specific Comidor objects are displayed here as well.
  • Messages – When a new Email is received the alert will be displayed here. Customise Email notifications in User Settings.
  • Calendar – The Calendar icon opens a Calendar that shows your tasks for the current day.
  • Absences – This informs you about the colleagues that are on leave.

As with the notification and search bar, the User Image will always remain at the top of the screen while using Comidor. Check more about User Settings in the Graphical User Interface section.

The Quick Add menu is accessed by clicking on the main menu. It allows the user to quickly:

Quick adds allows smooth navigation, anytime you need to. While using Comidor, Quick Add will always remain at the left of the screen. Check more about Quick Adds in the Graphical User Interface section. Did you know that Quick Adds can be used to Link a Comidor object with the background screen Comidor object? Learn more in the Data Management section.

Furthermore, from the main menu users can:

  • Access Opened apps and Favorite apps
  • Access to Workplace (Tasks, Contacts, Events, Mailbox, Notifications, Workbench, etc.)
  • Access to Processes (such as issues, all processes, etc.)
  • Access to My Activities (for any employee-related requests, such as absence requests, employee requests, etc.)
  • Enter the App Factory for creating applications and workflows
  • See all available Packages (Accounting Automation, Document Automation, HR Automation, Process Intelligence, Project Automation, Sales Automation, and Survey Automation)
  • Perform the Company Setup (such as Business Setup, Organizational Chart, KPIs, Data Management, Application Rights, etc.)

Comidor offers a complete Document Management System (DMS) to manage your documents and files efficiently. Comidor DMS provides built-in integration with Google Drive, Dropbox, and Box, providing various security levels, fully customizable access rights, embedded previews, versioning and more.

  • Use Comidor DMS to link files with other Comidor objects, like Processes, Tasks, Projects, Contacts, Accounts, Opportunities, etc
  • Full version control with previous versions stored and accessible
  • Automatic creation of a folder every time you create a Project or a new Account and save all related items to that folder
  • View a document quickly by previewing it without the need to download
  • Quickly upload a file using the Quick Add Icon

To access Files go to Packages > Document Automation > Files.

DMS Structure

Every user has access to three CORE folders based on Comidor DMS Structure:

  • Personal Folder: your own personal files and folders where only you have access. To grant access to another user share the folder. The specific folder will appear in the other user’s Documents in their “Shared Folders”
  • Public Documents: all the Files in this folder are available to all employees of the company
  • Shared Folders: contains folders and documents that other users are sharing with you. Open or download any folder but they cannot be deleted or renamed

Create Folders and Files

To create a new folder:

  1. Make sure you are in your Personal CORE folder or Public documents CORE folder. To go into these folders either double-click on them or click on them and then click on Open
  2. To create a new folder either right-click on a blank Comidor Files screen space or click on the side and select Create Folder
  3. A pop-up window appears prompting to name the new folder and click on Create.

To create a new file in a folder:

  1. Right-click on a blank Comidor Files screen space or click on the top right and select the Create File option
  2. A pop-up window appears asking the user to select the file type. Click on Plain Text to create a simple text file or Rich Text for an enhanced text documentnew file v.6| Comidor Platform

  • If Plain Text is selected a plain text editor appears where the user can write text. Click on Save to save the text file. Click Save and Close to save and return to the folder or Save as Message Template to save this text as an Email Template which will be used when sending a new email
  • If Rich Text is selected a rich text HTML Editor appears where the user can write text, edit it, customize it, or paste text from a word file. Click on Save to save the text file instantly, Save and Close to save and return to the folder or on Save as Message Template to save this text as Email Template which will be used when sending a new email.
  1. Some extra options need to be selected and are required to proceed to Save. Type a Filename and type for the file (*.html,*.txt, etc.). Click on Save.

Uploading

There are 2 ways of uploading files to Comidor:

  1. If there are many folders and files on the PC or laptop you can upload them together. Make a zip folder on the computer and then in Comidor choose “Upload Folder (.zip)” from the right-side panelupload zipped folder v.6| Comidor Platform
    • When accessing a folder or Right-clicking on the white space around the files in the folder some options will appear on the side panel. Select Upload folder
    • Click on Select file button to select the .zip folder then Start upload
    • When the confirmation message appears to click on the Refresh button to see it inside the folder
  1. To upload files inside a folder just drag-and-drop files on the bottom right box. Or click on that box to select files from the computer

For files that have just been uploaded a “NEW” sign appears next to their name.

Actions on DMS

Easily find a file, preview online, act on it and download it to your PC.

Search and Navigation

On the top left there is a Document Management Bar:

  1. Type a File name in the search box and click on Enter. Or click on Refresh to apply the search preference
  2. Search for Tags already applied to the Documents.
    • Adding Tags to Files will assist in the grouping, filtering, and finding them. Check for more information on Tags

  1. Navigate to the folder with pagination buttons:
    • Click either on the backward arrow to go back in the exactly previous screen
    • Or on the upward button to go backward in the upper folder
    • Click on the Home button to go directly to the main CORE folders
    • Click on a pathname to go to that point of the path
  2. Sort files and folders by Filename, Date, Size, Rating in an Ascending or Descending

Manage Folders

View the actions you can perform on the folders by either right-clicking on a folder where a new pop-up window appears or by simply clicking on a folder and viewing all the actions that are shown in the right-side panel.

  • Open: Open the folder to view the documents and any sub-folders
  • Copy/Move: Select to Copy or Move a folder to another folder which can be selected in the pop-up box that appears
  • Rename: Rename the folder
  • Delete: Delete a folder with all its sub-folder and documents. A message appears to confirm the action
  • Download Files of Folder: The folder will automatically download in a .zip versionproperties - files v.6.2| Comidor Platform

 

  • Share: Share this folder with multiple Comidor users and groups. The users will have this folder saved in their shared folders and it will be updated automatically each time a user saves or updates a file. Notify the added users with a System–Notification and/or an Email. Select whether or not access will be given to all subfolders or just to the main folder. Click on OK to save the changes
  • Properties: Check folder properties in the Summary tab to see which users and groups have access to the folder, folder index, location path, and creation information

Standard shortcuts are available in Comidor’s DMS: Ctrl + C (copy), Ctrl + A (select all), Ctrl + V (paste) etc.

View a Document

Save time by opening any document within Comidor’s native viewer system – there is no need to download the file. Right-click on the file you want to preview and click “View” or select the file and click on “View” from the side panel on the right.view a document v.6| Comidor Platform

Print, download, and read the document using the Comidor Online viewer tool. When viewing a *.html, *.txt, and similar text document types there is an option to Save the File as an Email Template in the Mailbox (provided that the email is connected in Comidor).

Manage Documents

Perform multiple actions on any file and easily edit Rich text and Plain text documents that are inside the Files:

  1. Rate documents: Click on the stars next to each document name to give them a rating. Indicate the importance of any File with this star-rating system
  2. Right-click on a document or simply click on it. A list of actions is displayed such as:
    • View: View documents online using Comidor Online Document Viewer
    • Copy/Move: Perform file actions like Copy, Move, Paste. Press Ctrl+Click on multiple documents. When copying or moving a pop-up appears to choose the destination path to paste selected files. For the Delete option, choose the file and press the “Delete” button from the keyboard
    • Rename: Change a document name and type in the pop-up that appears.
    • Delete: Delete selected document(s). A pop-up confirmation box will appear
    • Download the selected document(s)
    • Lock: While in a folder that has been shared with others block the modification of its files by selecting the Lock option. If a file is locked other users are unable to move, edit or delete the file until it is unlocked. Other users can only view and download the locked file
    • Link/Tag: Link this file with any Comidor object like Processes, Contacts, Accounts, Projects, Tasks, Opportunities, etc. or Tag a file to assist with filtering or locating
    • Notify: Use Notify to keep colleagues up to date on file changes by sending a Notification. Send a message notification as an Email to non-Comidor users (simply by typing their email address) – an Email account must be connected to Comidor to do this
      • Notify specific user(s) and groups about a document in a private folder that has been shared with them (go to “Change rights” above) or for a document that is in a folder that other users have shared with you
    • Send with Email/Send with internal mail: Send this document as an attachment through Email or internal Email
    • Edit: Edit online any plain text or rich text document
    • Google Drive: Upload, Share and Edit any file via Google Drive. The Google Drive account needs to be integrated with Comidor
    • Change rights: This defines the editing rights of a file and the option is viewable and editable only by the document owner. By default, any user who has access to a folder can edit its files. To allow specific users to edit a file make sure that you share the document’s folder with them first and then choose the File and click “Change rights”. Define the people (users or groups) who can modify the file (rename, delete, upload new version) and click OK
    • Properties: View a document’s properties e.g. document information, last modification, creation dates and times, which user has performed the actions and who has locked specific files. If the document’s owner adds you or your team in the Change rights list you will be allowed to modify it and unlock it
      • For users and teams to have access to specific files they should also have permission on the folder the document is inversions docs v.6.2| Comidor Platform
    • Comidor also offers Version Controlling on a specific document (tab in Properties pop-up box). Users that have permission rights for that document can track versions of that file (e.g. name or content changes and who made the changes). Select one version, delete this version and click OK to view the changes
      • For files that have more than one version, a star sign is created next to the name

DMS Integration

Comidor integrates quickly and seamlessly with this document management system: Google Drive.

  1. Click on Google Drive to sync with the Google Drive files

  • A new window appears asking for permission. Click on Allow to give permission for Comidor to access the Google Drive documents
  • Manage the Google Drive documents directly from this point. Upload files with drag and drop or straight from the Desktop, check your storage availability, log-out or perform more actions by right-clicking on a file. Save files in Comidor, download files on the desktop or delete by right-clicking on a folder. Click on Sync current folder to synchronize it with the Google Drive
  • When Google Drive is integrated, select a file and choose to edit or upload or share it in Google Drive
  • Save changes in Google Drive DMS and see files updated in Comidor DMS
  • When Sharing via Google Drive, a pop-up appears for the user to type the Email addresses of the person/contacts/accounts they want to share the file(s) with. Click on upload and share button
  • The files will be shared and the recipients will receive a link to the shared file

Wikis were originated from a little shuttle bus system in Hawaii and means ‘’quick’’ in the Hawaiian language. That is exactly the role of Wikis in Comidor. It’s a great method of quickly and efficiently transferring knowledge inside and around the company. Maintain the business knowledge database through Comidor’s Wikipedia-style pages. Types of Comidor Wiki pages can include Introduction Tutorials, Reference Manuals, or Integrated YouTube videos. Users can search, edit, publish or unpublish, delete, print, export to PDF, or see the history of an existing Wiki page.

Create a Wiki

  1. To access Wikis go to Workplace > Wikis
  2. Click on the + icon to create a new Wiki page

  • Add the Title of the Wiki
  • Add a new Category or select one from the list
  • Add any useful Link for the Wiki

The link of the Wiki appears in the right panel and is clickable.

The link can be any URL of a website, image, video, etc.

  • Upload any Video relevant to the Wiki.
  • Upload any File relevant to the Wiki.
  • Write the Content in enriched HTML Editor and any Notes by clicking on the second tab ‘Notes’   

Click on Save to add the new Wiki.

After saving the wiki, you can see a preview of the files on the right side of the screen.

Find and Edit a Wiki

  1. To access Wikis go to Workplace > Wikis
  2. Find an existing Wiki:Edit wikis v.6.2| Comidor Platform
  • Type keywords in the search box and either press enter or
  • Identify the Wiki you are looking for through its Wiki’s Category
  • Identify the Wiki you are looking for through the Wiki Page’s Title
  1. Click on the Wiki Page Title
  2. Read and carry out multiple actions on the Wiki:

All Wikis actions are only available when you click on a specific Wiki on the left panel.

  • Edit the Wiki by clicking the Pencil Icon

A new pop up window appears. Edit the information as required, make any changes in the Content tab using the enriched HTML Editor, add extra Notes in that tab and inform colleagues about Changes in the 3rd tab. Click Save to add the Wiki or Cancel to close the create a form or close the window (X).

Anything added in the Notes form appears on the panel to the right of the Wiki.

  • Click on the Delete button to delete the Wiki. A confirmation box will open. Click on Yes to confirm the deletion or No to go back to the view form or close the window (X)
  • Click on the Print Button to open the Wiki in a new tab to print it. Follow the browser’s default printing procedure

When in a Wiki you can only print that specific Wiki.

  • Click on the Print Icon to Export the Wiki to PDF. A new tab opens to download and save it as a PDF file. Follow the browser’s default downloading procedure

Users can add a personal note using the Quick Add Menu.

Create a Note

  1. Go to Workplace > Notes
  2. Click on the + Icon at the top right of the screen to open the Create Form

  1. Fill in the Basic Info.
    • Add a Title for the Note
    • Check the box to mark the Note as important
    • Write your message in the HTML Editor
  2. Select the desired Save option (refer to Quick Reference Guide)

  1. Go to Workplace > Notes

  1. Click on a Note to edit and then on the Pencil Icon to open the Edit Form
  2. Edit the information and Select the desired Save option (refer to Quick Reference Guide)

View Rights of a Note

After Creating a Note change the View Rights. By default, the View Rights are set to private. If you have changed the view rights of a Note and the Note is subsequently edited the rights will automatically change back to private mode.

  1. Go to Workplace > Notes

  1. Click on a Note to view the rights
  2. Click on the Action Icon to access the menu and then click on the Rights Tab to adjust the rights
    • Select View Rights to give access to any group that you are a member of or select multiple groups and /or users from Allow options on the left panel of the pop-up box. Restrict specific users or groups from viewing this Note
    • Select Change rights to change the access rights of specific users or groups

    • Click on Save to save the changes or Cancel to exit the Rights box or close the window (x)

View and Manage a Note

  1. Go to Workplace > Notes
  2. Click on the Note to view
  3. View the Summary details of the Note

  1. Click on Links to add a new Link to this Note and link with any other Comidor entity e.g. a Project, an Event, etc. Existing Links can be viewed
  2. Click on Tags to add a new Tag to a Note e.g. private, group, internal or public. Edit older tags that have been added to any Note

Adding Tags to Notes assists with grouping, filtering and finding them.

Applying group, internal or public Tags in personal Notes will not make a personal Note visible. Change a Note’s rights to give access to colleagues.

  1. Click on the Actions Icon on the top right of a Note to perform the following actions:
  • Delete, a confirmation box will appear
  • Print, to print the current Note view. Another tab will open in the browser. Follow the browser’s printing procedure
  • Link with, to add a new Link between this Note and any other Comidor entity e.g. a Project, an Event, etc
  • Notify, to notify specific Comidor groups/users via Notifications and/or external recipients with email-messages (provided that you have already connected an email account in Comidor)

Manage multiple Notes

  1. Go to Workplace > Notes

  1. Check the Notes to:
    • Delete: delete selected Note(s). A confirmation box will appear
    • Link with: to add a new Link between selected Note(s) and any other Comidor entity e.g. a Project, an Event, etc

Before deleting or linking a Note be aware that the current view might be filtered or the result of a search. Check Data Management options for more information about all these options below.
