Processes allow you to create entities that refer to a course of action that can be assigned and be brought to completion by multiple people, teams, and groups. People that have access to a specific process can notify each other upon any process change, monitor the process, and check its stage. Processes can be matched with related Comidor objects (such as Files, Accounts, Contacts, Tasks, etc.)

Create a Process

In order to access Generic Processes, go to Packages Icon > Process Orchestration > All Processes.

Start with creating a new process by clicking on the ‘+’ sign on the top right of your screen. A new form appears.

  1. Fill in the Title of the Process and the Basic Info of the Process.Processes | Comidor Platform
    • Category: Search for a Process Category based on the Process map and select it or add a new one. See how to add Categories in Data Management.
    • Assigned to: Click on the Assigned to field in order to see Comidor Users and Groups. You can assign this Process to as many people or groups as you wish. This means that the people you will select here, are those who will be responsible for this process completion.
    • Select Priority (Low, Normal, High, Top) of the Process.
    • Then, you should set the scheduling of the Process. Execution details will be filled in in the future when the Process will have been started.
    • Also, you can Link this Process with a related Account and a Workflow.
  2. In additional info, you can complete the following fields:
      • Category: Which is the 2nd categorization of Processes
      • Select Importance (Normal, High, Top)
      • When Region code is set up in Regional Settings, suggested calculated hours give the timeframe of the working hours between scheduled start and end, excluding public holidays, etc.
      • You can also link the Process with either a Parent process, a Contact, a Personnel, or a Service. Type some related letters and click on the search to find an entity.
  3. If you check the Execute automatically parameter, the process will be set as running the Scheduled start date and time, and automatically be completed at the date set above in Scheduled end.Processes | Comidor Platform
  4. You may want to add Location Details, such as Country, Address, and City information.
  5. Complete a Description for this Process.Processes | Comidor Platform
  6. The status field will be later filled when the process will start. In case, that the Process has already started, make sure you will complete these fields as well.
    • The state will turn automatically to Created when the Process will be created. You may change this later as Confirmed, Scheduled, Running, Completed, Canceled, Paused, or Failed. Process State will be changed to Running and Completed automatically on the scheduled start and end dates and times, respectively, provided that you had check Execute automatically field above.
    • Start and End Dates & Times are the execution actual start and end dates and times. They will be displayed when the Issue starts and is completed.
    • Completed (%) is the percentage of Process completion and should be added and managed manually by the Process Owner.
    • The estimated workload refers to an estimation of the hours that will be spent on this Process. The Actual workload will be later automatically filled, when you complete tasks inside the process and add the actual Process duration, in hours.
    • Finally, link this process with an Objective. Find out more about KPIs here.
  7. Set users that will be Administrators and Process’s Supervisor. Practically, this means that these users will have access to this process, even if you did not add them in the Basic Info above.
    • Send notification to Fill in Comidor Users and Groups, you wish to receive a notification when someone commented on this Process.
    • Additional access: People or/and Groups that should have access to this Process, without being necessary to act upon it.
    • Change rights: People or/and Groups that could edit this Process details in the future.  The choice “Everyone” is by default. This means that everyone who has access to this Process will have the right to modify it.
  8. Finally, click on Save to save the Process, on Save and New to save this and start creating another one, on Save and notify when you need to save but also send a Notification message to appropriate people or cancel to cancel the procedure. Create from template option is available when you have already added a Generic Template in Process Templates Unit in Automation-this This will help you have ready-to-start Generic Processes with specified people participating in them.

  

Edit and Monitor a Process

In order to access Processes, go to Packages Icon > Process Orchestration > All ProcessesA new Unit Action Tab appears with the name Processes in the Active Units Bar.

  1. Click on a Process from the list view in order to enter and manage it. A new Unit Action Tab appears with the name of the Process in the Active Units Bar.Processes | Comidor Platform
  2. Click on the pencil button to edit the Process details.
    • The edit button only appears to people that you have added in the Change Rights field of a process.
    • Apply any changes in the fields that are explained further in Create a Process and click on Save or Save and Notify depending on whether you would like simply to save or send a Notification message as well while applying changes.
  3. Click on the Actions button to open a list of actions.Processes | Comidor Platform Firstly, the Refresh button gives an instantly updated view of this Generic Process.
    • Select Delete to delete this Generic Process. A check pop-up window appears.
    • Click on Print whether you need to print this Generic Process view. A new tab opens in the web browser. Click on Ctrl+P to Print. (Changes may apply in different browsers)
    • Click on Link with, in order to Link this Generic Process with any Comidor entity (another process, account, contact, project, opportunity, etc.). A pop-up window appears.
    • Click on Notify in order to Notify a person or group of people regarding this Generic Process. Watch out to Notify someone that has access to this Process.
    • Create a Duplicate Process based on this one.
    • Also, the user can Print notes added on the discussion board of this Process. Pop-up appears prompting you to select a timeframe of notes to report you are about to see/print.
    • Make a copy in process Scheduling will copies this Process in Process Scheduling unit, in order for you to be able to re-schedule it for the near future with repetition or not.
  4. Change Process state simply by clicking on the state button on the top right. Then select the state of the process.Processes | Comidor Platform
  5. Select Confirmed or Scheduled in order to verify and schedule respectively the Generic Process that is about to start. A new pop-up window appears, where you can now set a different start time and date or take as granted the suggested time and date. Click on Save.
    • Select Running and a new window appears, where the user can set the execution time.
    • Select Paused in order to pause a Generic Process for some time. A new pop-up window appears and the user can see the update in execution information.
    • Click on Failed on a Process that failed to complete, update start and end dates and times, duration (suggestion of tracked or computed duration are available), and quantity, and click on Save. See the update in Generic Process execution information.
    • Click on Canceled on a Process that has been canceled, update start and end dates and times, % of completion, duration (suggestion of tracked or computed duration are available), and quantity, and click on Save. See the update in Generic Process execution information.
    • Click on Completed to set a Generic Process as complete. Update start and end dates and times, duration (suggestion of tracked or computed duration are available), and quantity and click on Save. See the update in Generic Process execution information.
  6. Get a full Process analysis in Dashboard. You can monitor which stage is the process right now and which stages have left. Make sure, you have selected the workflow when creating the particular process. Furthermore, users can see information such as % of Process completion, time tracking, task count tracking, and task workload in hours from this point.Processes | Comidor Platform Tasks Workload (in hours) is the # of actual Task(s) duration divided by the scheduled Process duration and the Completed percentage is the aforementioned field of the Generic Process that is filled by the user.
  7. Click on Subprocesses at the side-box, in order to see all the processes that the main process includes.Processes | Comidor Platform You can easily create a new subprocess, by clicking on the ‘+’ button. A new window appears and you have to fill in all the required fields. By default, the checkbox that links this new subprocess to the Mother Process is pre-checked. Then, click save to proceed, or Cancel to discard the changes you have made.
  8. Opportunities in Comidor help you organize your potential deals. Hence, in the Opportunities tab, on the left side box table, you can view all the opportunities related to this specific process. In this view, you can see the basic details of the opportunity, such as Title, Final, and Target Revenue.Processes | Comidor Platform Users can create an opportunity simply by clicking on the ‘+’ button. After that, they can fill in the appropriate data like Basic info, Scheduled and execution time and date, duration and make the necessary linkings.   9. In the Projects tab of the left menu, the user can either see an already linked project to the current Process or create a new one. You can find brief details of the projects here. In particular, you can see the title, the Financial, and the Target Revenue of the project. Processes | Comidor PlatformUsers can create a project simply by clicking on the ‘+’ button. A new tab opens in Projects. Here, they can fill in the appropriate data like Basic info, Scheduled and execution time and date, duration and make the necessary linkings.   10. Click on Notifications at the side-box to see all the Reminder – notifications that the system created and sent regarding this specific Generic Process. The notifications may refer to process completion, process start, process delay, or time before its start. You can see these notifications’ dates and times sent, whether they have read and removed them, too.
  11. You can click on Tags and Links in order to give a Tag on this Process and Link it with other Comidor entities such as Accounts, Contacts, Projects, Opportunities, Messages, Files, etc.
  12. Lastly, you can check the workflow logs from the Workflow audit tab. With Comidor’s workflow audit, you are enabled to get a clear overview of all the actions that have been executed in the whole lifecycle of the workflow.

 

Add Tasks & Files in a Process

Tasks setting is necessary to schedule work that should be performed by multiple people and groups. Add a quick Task by clicking on the ‘+’ icon, in the tab Related Tasks.Processes | Comidor Platform

A new form opens. You can create multiple Tasks, enter and monitor them from this point. Click on refresh to instantly see all new-added tasks in the form.

Note that if this process is linked to a workflow all tasks that will be triggered from this workflow will be displayed in the Workflow Tasks tab.

Also, you can easily upload related files in the Attachments tab. Select one or more files either straight from your Desktop, attach an existing in Comidor File, or a File URL by clicking on the earth button. Click on an already uploaded file to Open it (downloading and previewing of current and previous versions are available), Rename it, or Delete it.

Discuss below a Generic Process

Users that have the right to view a Topic, can also read any discussion that occurs inside that Generic Process in Notes.Comments in Processes | Comidor Platform

  • Simply add a Comment using a simple or enriched HTML Editor (Open editor).
  • Users can click on Refresh to see new comments. Click either on Show More or Show Less to see the number of comments they wish.

Only people and people in groups that you have added in the “Send Notification to” field, will receive notifications in the Notifications Bar about these comments.

 

Massive Processes actions

  1. From the Modules Menu Icon, go to Packages Icon > Process Orchestration > All Processes. A new Unit Action Tab opens with the name Processes.
  2. In the List view of Processes, check multiple Processes, and perform actions upon them.Processes | Comidor Platform Select multiple processes and click on Delete to delete many Processes in one move. A check message appears in a pop-up window prompting you to be specific and check what Processes (and their sub-processes) you would like to delete. Choose between “Yes, delete all”, “Yes, but just those selected” and “No”.
    • Click on Link with to Link the Processes with a Comidor entity, such as another Process, Opportunity, Survey, Project, Account, Contact, Message, File, etc.
    • Select Print notes added on the discussion board of this Generic Process. Pop-up appears prompting you to select a timeframe of notes to report you are about to see/print.
    • Press Change state and a new pop-up window appear. Then, click to expand the list, select one state, and click on Ok. Changes will occur.
    • Change category. A new pop-up window appears. Then, click to expand the list, select one business category, and click on Ok. Changes will occur.
    • You can select Tag, in order to apply multiple tags at once.
    • Finally, select Make a copy in Process Scheduling, to copy this Process and transfer it to the Process Scheduling unit. There, you can set a repetition for it.

Print and Export multiple Processes

In the Processes, the main view, click on the Actions button and select between Export or Print buttons in order to export or print the list of the Processes that you are viewing at that moment or all.Processes | Comidor Platform

Make sure prior to any action that you are viewing the searched or filtered or all Processes. You can simply sort them and/or group them by the way you wish. Check Data Management options for more information about all these options below.

Process Templates give you the opportunity to have all your standardised processes in one place and have the guidelines to follow a very specific company’s procedure.

They can be used when creating a new process of any type or when you are using Quick Adds.

Create a Process Template

  1. Click Packages Icon > Process Orchestration > Process Templates.
  2. Then, press on the ‘+’ button to add a new Process Template.
  3. Fill in the Title of the Process Template and the Basic Info.Process template creation | Comidor Platform
    • Type: Select the type of Process you want to associate the Template with. This means that a Template of type “General” will be available when creating a new generic process, a Template of type “Project” will be available when creating a new project, etc.
    • Category: Search for a Process Category and select it or add a new one. See how to add Categories in Data Management.
    • Assigned to: Click on the Assigned to field in order to see Comidor Users and Groups. You can assign this Process (when created) to as many people or groups as you wish. This means that people you will select here, are those who should participate in this process. Also, choose the Role.
    • Select the Priority (Low, Normal, High, Top) of the Process Template.
    • Put the Duration in days or hours (depending on the expected process duration) – this will set the scheduled end date and time when taking into account the scheduled start date and time.
    • Initial State refers to Opened, Confirmed, Scheduled, or Running state, that users can set for the beginning of the Process.
    • Finally, each Process Template may have its core relations. So, you can Link this Process Template with an Account and a Workflow.Process template creation | Comidor Platform
  4. In the Additional Info, fill in:
    • Category: Extra categorization option.
    • Responsible group: The group which probably has the accountability of this Process.
    • Select Importance (Normal, High, Top).
    • Link the process template with a Parent process, a Contact, a Personnel, or a service. Type some related letters to find an entity.
  5. From this point, you can choose who you want to have access to the Process Template and whom you wish to send notifications to:
    • Send notification to: Fill in Comidor Users and Groups, you wish to receive a notification when someone commented on this Process.
    • Additional access: People or/and Groups that should have access to this Process, without being necessary to act upon it.
    • Change rights: People or/and Groups that could edit this Process details in the future. “Everyone” is chosen by default. This means that everyone who has access to this Topic will have the right to modify it.
    • Set reminder: Click on this button, and in the pop-up window, specify the reminder options you wish.
      • Choose when to send the notification (On process Completion or On process time). Or select when the reminder should be triggered (Number of Days/Number of Hours/Number of Minutes delayed or before the process completion/process time)
      • Select the user to whom the reminder will be sent
      • Check the Email and/or SMS box if the user is to be notified via email and/or SMS
      • Email reminders will be sent provided that the email account is connected to Comidor. SMS reminders will arrive provided the recipient user has set a Mobile phone in his Personal Profile – this is available upon request

    • Template rights: People or/and Groups that could use this Template and of course have access to this.Process template creation | Comidor Platform
  1. Additionally, you can choose whether to Execute automatically the new process, when created. This will start and finish automatically the process in the specified timeframe.
  2. Add the Location details, such as Country, Address, City.
  3. Then, complete the Process Template Description.Process template creation | Comidor Platform
  4. In the Performance tab, users should put Workload in hours, which will be the sum of the duration of all tasks that should be performed upon this Process completion. From this point, you can link this Process Template with a KPI. Just type an Objective in the respective field.
  5. Then, set users that will be Administrators and Process Template’s Supervisor. Practically, this means that these users will have access to the created Process, even if they are not added in the Basic info above.
  6. Click on Save to save the Process Template, on Save and New to save this template and create a new one, on Save and notify when you need to save but also send a Note- Notification message to appropriate people, or Cancel to cancel the procedure.

 

View and Edit a Process Template

  1. Go to Packages Icon > Process Orchestration > Process Templates.
  2. Select a Template from the List view and click on it to access it.Process template actions | Comidor Platform
  3. A new record preview will be displayed on the right side of the screen. You can move the bar with your cursor to resize your preview, click on the open in full view icon, or on the “x” button to close the preview.
  4. Click on Tags to add a new Tag on that Process Template that it may be private, group, internal or public. From this point, you can also manage old tags that have been added to that Template.
    • Putting Tags may help you in grouping them, filtering, and finally find them easier.
  5. Add comments to this Process template, and the users that have access will be able to view them and respond.
  6. Click to Edit the Process Template by clicking on the pencil button on the top left.
    • Make any modifications in the Process Template and then press Save to save the Process Template, on Save and notify when you need to save but also send a Note-Notification message to appropriate people with the changes you made, or Cancel to cancel the procedure.
  1. Click on the Actions button to Print this Process Template view.

Managing Process Templates

  1. Go to Packages Icon > Process Orchestration > Process Templates.
  2. Select Template(s) from the List view.Process template actions | Comidor Platform You can Delete the selected Process Template(s). A check message appears in a pop-up window prompting you to be specific and check which ones you would like to delete. Choose between “Yes” or “No”.
  3. In the main view, click on the Actions button and select between Export or Print buttons in order to export or print the list of the Templates that you are viewing at that moment or all. Regarding printing, a new tab will open in your browser; please, make sure you will follow your browser’s printing procedure.

Make sure prior to any action that you are viewing the searched or filtered or all Process Templates after you have sorted and/or grouped them by the way you wish. Check Data Management options for more information about all these options below.

Create Form and Fields in a Process Template

  • Go to Packages Icon > Process Orchestration > Process Templates.
  • Enter a Template from the List view.
  • Select from the left-side menu the tab User fields in order to create custom user fields for the creation form, when initiating the specific process template.
  • Then, go to the tab User Forms and click on the “+” button to add the creation form.
  • Complete the basic info as below.Quick add form Process template | Comidor Platform
  • Check Main, if you want to see this form and the data inside in your Mother Process. It will appear in a separate tab on the left side menu of the process.
  • In the field Primary, choose to Replace existing form, if you wish this form to replace the Summary form of the process, retain if you wish to be displayed above Summary form in the Process, or Not a primary form.
  • Do not forget to select in Quick the option In the process template list, if you wish to use this form as an insert form in the Quick Add. Alternatively, choose in a quick add menu and your form will appear in the quick add menu below other units.
  • After saving the form, then scroll down to the form designer, where you can organize your form, add your fields, and make your form look the way you wish.
    • Design your Form by inserting Panels, Sections, Paragraphs, Style, and/or code blocks. Simply drag-n-drop the block you wish on the page.
      • In Sections, you can add as many fields as you wish with drag-n-drop functionality. You need at least one section to add your fields.
      • In Paragraph, you can type your text, either in simple text or with the enriched HTML editor. Keep in mind, that you can add a value of a custom or database field that is being used in the process/app, as a variable in your paragraph.
      • In Code, advanced users can add a Procedure.
      • In Style, you can customize the font colors, font size of headers, labels, etc of your form. Quick add form Process template | Comidor Platform
    • Click on one of the blocks and in the window that opens you can edit, rename, or delete the block.
    • Select the Page Layout of your preference

  • Search database fields or/and custom fields from Available fields List and then and drag-n-drop them to Used fields list inside the Container you have created.Quick add form Process template | Comidor Platform
  • After the design of the form is finished, you should press the Publish button in order to publish your form.

  • Here, you can see how your form will appear in the Quick add menu after you select the Template you have made. The fields Title and Attachments by default appear in all Process Templates. You have the ability to choose from a numerous list of database fields or/and custom fields to be added to your form.Quick add Process template | Comidor Platform

Comidor can help you manage your processes and avoid losing valuable time on rescheduling a repetitive process. Scheduling does exactly this. It provides users with the opportunity to initiate a process or an application that will be repeating continuously without assuming its creators’ valuable time.

Create a Schedule

  1. In order to access Scheduling, go to Packages Icon >Process Orchestration > Scheduling.
  2. Click on the “+” icon to create a new Schedule.
  3. Fill in the Title of the Scheduling and the Basic Info.
    • Type: Select the type of Process you want to schedule. This means that a Process of type “General”,  “Event”, etc. will start in the scheduled start date and time in a repetition plan.

    • Business Function: Choose a categorization option (see Process map).
    • Assigned to: Click on the “Assigned to” field in order to see Comidor Users and Groups. You can assign this Process (when created) to as many people or groups as you want. This means that people you will select here, are those who should participate in this process.
    • Set Scheduled Start and Scheduled End dates and times of the Process.
    • In the Unit type choose between Workflow or Application
      • Workflow – choose the workflow you would like to be triggered every time the scheduling runs.
      • Define the Application you would like to be triggered every time the scheduling runs.
  1. Complete Schedule’s Description.Process Scheduling creation | Comidor Platform
  2. Then, you should set the repetition of the scheduling, which is actually the timeframe of the process that is about to be created, and choose which State you wish the Process to begin with. (Opened, Confirmed, Scheduled, etc.)Process Scheduling creation | Comidor PlatformComidor allows you to set the repetition of a Process (in minutes, hours, days, etc.) from a specific date to another. Choose:
    • Minutes to repeat the Process per minutes
    • Hourly to repeat the Process per hour
    • Daily to repeat the Process per day
      • You can exclude weekends by choosing “Every weekday”
    • Weekly to repeat the Process per specific day of the week
    • Monthly to repeat the Process per specific day of the month
      • You can choose an -every 2 weeks- repetition by selecting “Day 14 of every 1 month”.
      • You can choose a -last day of the month- repetition by selecting “Day L of every 1 month”.
    • Yearly to repeat the Process per specific day of a given year(s).
  3. Additionally:Process Scheduling creation | Comidor Platform
    • Choose Responsible group: The group which has the accountability of this Process.
    • Select Importance (Normal, High, Top) and Priority (Low, Normal, High, Top) of the Process, if applicable.
    • Each Process Schedule may have its core relations. So, you can Link this Process with a related Contact, Parent Template, and Personnel.
  4. Set users that will be Administrators and Process’s Supervisor. Practically, this means that these users will have access to the created Process, even if you have not added them in the Basic info above.
  5. For repetitive processes, that you are certain of the Start and End time, you can enable the Parameter Execute automatically. The process will be set as running at the scheduled start date and will automatically change to completed at the Scheduled end date and time. If you wish to complete the processes manually, leave this parameter unchecked.Process Scheduling creation | Comidor Platform
  6. In addition, you have to complete the following:
    • Send notification to: Fill in the Comidor Users and Groups that will receive a notification when someone comments on this Process.
    • Access rights: People or/and Groups that should have access to this Process, without being necessary to act upon it.
    • Change rights: People or/and Groups that could edit the Process details in the future. “Everyone” is chosen by default. This means that everyone who has access to this Process will have the right to modify it.
  7. The Scheduled duration must be set in order to calculate the Tasks Workload later, if applicable. So, put the scheduled duration of the Process (any type) in hours. e.g. put 0.5 for a Process that will last half an hour or 20 for a Process that is about to last 20 hours.
  8. Finally, set a Reminder:
    • Choose when to send the notification (On process completion or On process time). Or select when the reminder should be triggered (Number of Days/Number of Hours/Number of Minutes delayed or before the process completion/process time).
    • Select the user to whom the reminder will be sent.
    • Check the Email and/or SMS box if the user is to be notified via email and/or SMS.
    • Email reminders will be sent provided that the email account is connected to Comidor. SMS reminders will reach users provided that the recipient user has set a Mobile phone in his Personal Profile – this is available upon request.
  9. Click on Save to save the Schedule, on Save and New to save this Schedule and create a new one, on Save and notify when you need to save but also send a Note- Notification message to appropriate people, or Cancel to cancel the procedure.

 

View and Edit a Scheduling

  1. In order to access Scheduling, go to Packages Icon >Process Orchestration > Scheduling.
  2. Select a Schedule from the List view and click on it to access.

  4. Click on Tags to add a new Tag on the Scheduling that it may be private, group, internal or public. From this point, you can also manage old tags that have been added to that Schedule.
    • Putting Tags in Process Schedules may help you in grouping them, filtering, and finally finding them easier.
  5. Click on Links to connect Schedule with other Comidor entities such as Accounts, Contacts, Projects, Opportunities, Messages, Files, etc.Process Scheduling view| Comidor Platform
  6. If you wish to Edit the Process Schedule, simply click on the pencil button on the top left.
    • Make any modifications in the Process Schedule and then press Save to save the Process Template, on Save and notify when you need to save but also send a Note-Notification message to appropriate people with the changes you made, or Cancel to cancel the procedure.
  7. Click on the Actions button:
    • To Delete this Process Schedule. A confirmation message will appear.
    • To Print this Process Schedule view.
    • Click on Link with in order to Link this Schedule with any Comidor entity (another process, account, contact, project, opportunity, etc.). A pop-up window appears.
    • Click on Notify in order to Notify a person or group of people regarding this Schedule. Watch out to Notify someone that has access to this Schedule.Process Scheduling view| Comidor Platform
  8. Also, you can easily upload related files straight from your Desktop or by clicking on to attach a File URL. Different versions of Files that are uploaded here, may both be kept and managed. You can:
    • Open to view online or download a file or check its versions
    • Rename it
    • Delete it

 

Managing Schedules

  1. In order to access Scheduling, go to Packages Icon >Process Orchestration > Scheduling.
  2. Select Schedules(s) from the List view. You can Delete the selected Process Schedule(s). A check message appears in a pop-up window prompting you to be specific and check which Schedules you would like to delete. Choose between “Yes” or “No”.Scheduling actions | Comidor Platform
    • You can Link Schedule(s) with other Comidor entities such as Accounts, Contacts, Projects, Opportunities, Messages, Files, etc.

  1. In the Scheduling table, click on the Actions button and select between Export or Print buttons to export or print the list of the Process Schedules that you are viewing at that moment or all. Regarding printing, a new tab will open in your browser; please, make sure you will follow your browser’s printing procedure.

Make sure prior to this action that you are viewing the searched or filtered or all Schedules, having them sorted and/or grouped by the way you wish. Check Data Management for more information about all these options above.

List Management helps administer data lists (Categories) which are used in other modules. All Comidor users can create public category Lists (i.e. Account categories). Users with system administration rights have the overall authority to view, correct, edit, or delete Lists.

Create a new List

  1. To add a new category or a new Type go to a Comidor List in any Comidor Unit and click to view the List content
    • Click on Add to add a new category or type. Add a Category Name

    • To add the category as a core category click on Save. To add as a sub-category click to select the Parent Category or any sub-category (all categories are ordered in a tree-mode) then click Save

To add a new list/category from list management, click on:

  1. My Company > Data Management > Lists
  2. Click on the ‘+’ icon to create a new category
    • Add a Name for the new list, a Code (which is the category path) and its Value

Edit and Manage a List

To edit or manage a list click on:

  1. My Company > Data Management > Lists
  2. Click on a list
  3. Click on the Pencil Icon to edit the List’s value
    • Change the List’s value and click on save to proceed
  4. Click on the Actions Icon and select to delete the list. A confirmation pop-up box appears

Manage multiple Lists

To manage multiple lists click on:

  1. My Company > Data Management > Lists
  2. Select multiple lists from the table to:
    • Delete them (a confirmation pop-up box will appear)
    • Mark as protected which will make these lists viewable only to internal Comidor users but not to Guest users (who have access only to public data)

Filters

Create a new Filter

  1. You can create a new filter by clicking on the advanced search icon which is available in every table in Comidor

  1. Fill in the filters with the required criteria and click on Execute to update the record list. You can use filters, fields, or operators (=,>,<, >=, <=, !=). Create a combination of conditions using the AND and OR criteria

  1. Click on Clear or Save this filter to re-use it later. A new pop-up window appears. Type a filter name and keep this filter Private or make it Public so others can use it. Click Ok to proceed

  1. To load this filter you have to close and re-open the unit you are in and click on the custom filter drop-down list (called Advanced Search) to find and load a filter

Manage Filters

Filter Management is available only to System Administrators users.

Click on:

  1. My Company > Data Management > Filters
  2. In the left panel, you can see folders of the private filters (categorized by creator/owner name) and the public folders (indicated with no name). Clicking on each folder you can see the related filters
  3. Multi-check filters to:
    • Make them public – everyone will be able to use them including guest users

  4. After selecting a filter you can click on the Actions icon to delete it
  5. Click on the Actions Icon of the Filters table to Print or Export the list

Process Map

The process map helps manage business categories that are used in all types of processes in Comidor (Generic Processes, Opportunities, Projects, Work Packages, Tickets, Surveys, Campaigns, Events, Topics, Issues, Trainings).

Create a new Business Category

To add a new Business Category click on:

  1. Packages > Process Orchestration > All Processes, or:
    • Process Orchestration > Issues
    • People Management > Trainings
    • People Management > Surveys
    • Customer Relations > Opportunities / Campaigns / Tickets 
    • Project Management > Projects
  2. Daily Utilities > Topics or
    • Daily Utilities > Events
  3. Click on the ‘+’ icon to start a new process
  4. Find the field named “Category” and click to expand the process map list
  5. Click on Add to add a new Category. Add the Business Function Name
    • To add it as a core category click on Save. To add as a sub-category click to select the Parent Category or any sub-category (all categories are ordered in a tree-mode). Click on Save

  1. My Company > Business Architecture > Process Map
  2. Click on the ‘+’ icon to create a new business category

  2. Choose a specific business category from the list

Click on:

  1. My Company > Business Architecture> Process Map

With Processes Dashboard you are able to monitor filtered and sorted processes of any type. You can find multiple things, such as processes that you have created or the ones that you are an administrator, etc. Comidor Process Dashboard is an alternative way of monitoring and viewing your Processes of all types.

From the Business Apps Menu Icon, go to Process Orchestration > Processes Dashboard. A new Unit Action Tab opens with the name Process DashboardIn case you have already used Processes for your business, you will see a view as shown above.

You can quickly create a new process by clicking on the sign in the Unit Title Bar. A new form appears.

 

Monitor a Process

  1. Filter the processes showed by its state. Select between:
    • Running processes.
    • Active processes, the ones that are in “confirmed” or “scheduled” or “running” and were scheduled to start in the past.
    • Pending processes are the ones that should have started.
    • Due today, refers to processes that have a scheduled end date today’s date.
    • Delayed are the ones that should have finished.
    • With delayed tasks those who have uncompleted tasks

    • Finally, Click on Custom status to create a custom status for your Processes Overview. Choose State of the Process (of any type), Scheduled Start and Finish Dates and Times and click on OK. Available presets are Future, Past, Last month, Last week, Today, This week, This month.
  1. On the left side of the screen, there is a section where you can apply more filters:Process Dashboard | Comidor Platform
    • Click on the pin button, in order to pin this side section so as to be stable and always visible in front of the text. Click on it again to unpin it. Being in a pinned mode, you can hide the side section by pressing OK.
    • In the side section, Search with Process keywords, Account name, Type (General, Ticket, Vacation, Opportunity, Campaign, Project, Survey, Topic, Event, Issue, Work Package), Process Category name, Responsible group, Assigned to and Role options (Creator, Administrator, Supervisor, Responsible Group leader, Working Group Leader).
    • Check Importance and Priority filters.
    • Or, click on Clear to clear all filters.
  2. Select between sort options. Processes can be Sorted by Priority, Importance, Status, Date Created, Last Modified, Scheduled Start, Scheduled Finish, Start, Finish, Description, or Account in a Descending or Ascending mode.
  3. Navigate through Processes with arrows and scroll-bars.
  4. While viewing the Processes (of all Types) in Processes Overview, you can have instant information about:Process Dashboard | Comidor Platform
    • Processes’ Rag Status, you will see them red-colored for Red RAG status and yellow-colored for Amber RAG Status.
    • Process’ State and when it has been created or last modified.
    • The Process’s related Account.
    • Process’s Responsible Group, which is the group that has the accountability of the Process.
    • Importance and Priority of the Process.
    • Type of the Process (General, Ticket, Vacation, Opportunity, Campaign, Project, Survey, Topic, Event, Issue, Work Package).
    • Category of the Process, which is its given Business Category.
  5. When clicking on a Process a pop-up side page appears with process information to check. Change the process state. Then, click to Start, set as Complete, Cancel, Pause, set as Fail, or Postpone a process. A pop-up window appears, so as to change execution information.Process Dashboard | Comidor Platform
    • Click on the square button on the top right, in order to navigate to the full Process information in the related Unit.
    • Check Process info, such as related Account, Scheduled start and end dates, Assignee(s), and Description.
    • Monitor the process through an Execution Dashboard and get any process information in detail.
    • Check or add any related sub-processes and tasks, messages, or files.  In particular, you can add or check any other related Comidor object from this point. For example, Notes, other related Processes (of any type), Contacts, Accounts, etc.

    • Also, you can easily upload related files straight from your Desktop or by clicking on to attach a File URL. Click on an already uploaded file to Open it (downloading and previewing of current and previous versions are available), Rename it or Delete
      • Users that have the right to view a Process, can also read any discussion that occurs inside that Process in Notes.
      • Simply add a Comment using a simple or enriched HTML Editor (Open editor).
      • Users can click on Refresh to see new comments. Just click on Show More or Show Less to see the number of comments you wish.
        • Keep in mind, only people and people in groups that you have added in the “Send Notification to” field, receive notifications in the Notifications Bar about these comments.

Issues allow you to create entities that refer to a course of action that can be assigned and be brought to completion by multiple people, teams, and groups. People that have access to a specific process can notify each other upon any process change, monitor the issue, and check its stage. Issues can be matched with related Comidor objects (such as Files, Accounts, Contacts, Tasks, etc.) or be added as an entity that contains a problem, question, or suggestion that comes with e.g. a Project.

 

Create an Issue

In order to access Issues, go to Packages Icon > Process Orchestration > Issues. A new Unit Action Tab appears with the name Issues in the Active Units Bar.

Start with creating a new process by clicking on the ‘+’ sign in the Unit Title Bar. A new form appears.

  1. Fill in the Title of the Issue and the Basic Info of the Issue, as below:
    • Category: Search for a Process Category and select it or add a new one. See how to add Categories in Data Management.
    • Assigned to: Click on the Assigned to field in order to see Comidor Users and Groups. You can assign this Issue to as many people or groups as you wish. This means that the people you will select here, are those who will be responsible for this process completion.
    • Select Priority (Low, Normal, High, Top) of the Issue.
    • Then, you should set the scheduling of the Issue. Execution details will be filled in after the Issue starts.
    • Moreover, you can Link this Issue with a related Account and a Workflow.Issues | Comidor Platform
  2. In additional info, you have to complete the following fields:
    • Category: Which is the 2nd categorization of Issues
    • Responsible Group, which is the group from Organizational Chart, which owns accountability of the Process (Issue)
    • Select Importance (Normal, High, Top)
    • When Region code is set up in Regional Settings, suggested calculated hours give the timeframe of the working hours between scheduled start and end, excluding public holidays, etc.
    • You can also link the issue with either a Parent process, a Contact, personnel, or a Service
  3. Set users that will be Administrators and Issue’s Supervisor. Practically, this means that these users will have access to this Issue, even if you have not added them in the Basic Info above.
    • Send notification to: Fill in Comidor Users and Groups, you wish to receive a notification when someone commented on this Issue.
    • Additional access: People or/and Groups that should have access to this Issue, without being necessary to act upon it.
    • Change rights: People or/and Groups that could edit this Issue details in the future. “Everyone” is set by default. This means that everyone who has access to this Issue will have the right to modify it.Issues | Comidor Platform
  4. You may want to add Location Details, such as Country, Address, and City information.
  5. Complete an Issue Description, in order to give further details to people who will work on its resolution.Issues | Comidor Platform
  6. The status field will be later filled when the process starts. In case, that the Issue has already started, make sure you will complete these fields as well.
    • The state will be set automatically as Created when the Issue will be created. You may change this later as Confirmed, Scheduled, Running, Completed, Canceled, Paused, or Failed. Issue State will alter to Running and Completed automatically on the scheduled start and end dates and times, respectively, provided that you had check Execute automatically field above.
    • Start and End Dates & Times are the execution actual start and end dates and times. You will see them when the Issue starts and finishes.
    • Completed (%) is the percentage of Issue completion and should be added and managed manually by the Issue.Issues | Comidor Platform
  7. The estimated workload, is the actual Issue duration, in hours. Calculated hours will appear only if the Region Code field with Regional Settings is selected. In the Process view, the Actual Workload will be calculated based on the Tasks’ duration sum. In terms of each Process Performance measurement, you may connect a KPI (Objective) with this specific Process (Issue).
  8. Finally,  click on Save to save the Issue, on Save and New to save this and start creating another one, on Save and notify when you need to save but also send a Notification message to appropriate people or cancel to cancel the procedure. Create from template option is available when you have already added an Issue in Process Templates Unit in Automation-this will help you have ready-to-start Issues with specified people participating in them.

Edit and Monitor an Issue

In order to access Issues, go to:

  • Packages Icon > Process Orchestration > Issues.
  • A new Unit Action Tab appears with the name Issues in the Active Units Bar.
  • As a result, users can edit and monitor it through Process Dashboard and Workbench units, too.
  • Click on an Issue from the list view in order to enter and manage it.

  1. Click on the pencil button to edit the Issue details.

Edit button only appears to people who have been added in the Change Rights field of an Issue.

Apply any change, as explained above in Create an Issue above and click on Save or Save and Notify depending on whether you would like simply to save or send a Notification message as well while applying changes.

  1. Then, click on the Actions button to open a list of actions.
    • The refresh button gives an instantly updated view of this Issue.
    • Select Delete to delete this Issue. A check pop-up window appears.
    • Click on Print whether you need to print this Issue view. A new tab opens in the web browser. Click on Ctrl+P to Print. (Changes may apply in different browsers)
    • Click on Link with in order to Link this Issue with any Comidor entity (another process, account, contact, project, opportunity, etc.). A pop-up window appears.
    • Click on Notify in order to Notify a person or group of people regarding this issue. Watch out to Notify someone that has access to this Issue.
    • Also, you can create a Duplicate Issue based on this one.
    • Print notes added on the discussion board of this Issue. Pop-up appears prompting you to select a timeframe of notes to report you are about to see/print.
    • Make a copy in process Scheduling will copies this Issue in Process Scheduling unit, in the order you to be able to re-schedule it for the near future with repetition or not.
  1. Change the Issue state simply by clicking on the state button on the top right. Then select the state of the Issue.Issues | Comidor Platform
    • Select either Confirmed or Scheduled in order to verify and schedule respectively the Issue that is about to start. A new pop-up window appears, where you can now set a different start time and date or take as granted the suggested time and date. Click on Save. Select Running and a new window appears, where the user can set the execution time, and then, the Issue state will change.
    • Select Paused in order to pause an Issue for some time. A new pop-up window appears and the user can see the update in execution information.
    • Click on Failed, when a user has failed to complete an issue, update start and end dates and times, duration (suggestion of tracked or computed duration are available), and quantity, and click on Save. See the update in Issue execution information.
    • Click on Canceled on an Issue that you have canceled, update start and end dates and times, % of completion, duration (suggestion of tracked or computed duration are available), and quantity, and click on Save. See the update in Issue execution information.
    • Click on Completed to set an Issue as complete. Update start and end dates and times, duration (suggestion of tracked or computed duration are available), and quantity and click on Save. See the update in Issue execution information.
  2. If the Issue is driven based on a specific Workflow, then under workflow tasks, you can monitor in which stage of the process the issue is currently on and which stages are the next ones. Make sure, you have selected the workflow when creating a particular issue.

  1. Click on Subprocesses at the side-box, in order to see all the processes that are included in the main issue.  You can easily create a new sub-process, by clicking on the ‘+’ button. A new window appears and you have to fill in all the required fields. Click Save to proceed, or Cancel to discard the changes you have made.
  2. Click on Notifications at the side-box to see all the sent Reminder – notifications regarding this specific Issue. The notifications may refer to Issue completion, Issue start, Issue delay, or time before its start. You can see these notifications’ dates and times sent, whether you have read and removed them, too.
  3. If you have linked a workflow to this specific Topic, you can get real-time information regarding the Workflow Tasks that have been created and/or completed so far and the workflow run diagram in the respective tab. Also, you can monitor all actions that have taken place in the Workflow audit tab. Important information you can get at this point is:
    • The server that calls the action
    • Object Name
    • Previous Stage
    • Path Description and Condition
    • Change Info
    • Created and Modified by whom
    • Creation and Update dates
  4. Last, you can click on Tags and Links in order to give a Tag on this Issue and Link it with other Comidor entities such as Accounts, Contacts, Projects, Opportunities, Messages, Files, etc.

 

Add Tasks & Files in an Issue

Task setting is necessary to schedule work that should be performed by multiple people and groups. Add a quick Task by clicking on the Related Tasks tab in the Forms Menu and then at ‘+’. The ‘+’ is visible only when the Issue is Running.

A new form opens. At this point, you can create multiple Tasks, enter and monitor them from this point. Click on the refresh button, in order to instantly see all new-added tasks in the form.

Also, you can easily upload related files straight from your Desktop or by clicking on to attach a File URL. Click on an already uploaded file to Open it (downloading and previewing of current and previous versions are available), Rename it, or Delete it.

Discuss below an Issue

Users that have the right to view an Issue (Users and Users in Groups that are selected in the fields of Issue: Assigned to, Supervised by, Additional access, Administrator, Administrator 2, and Supervisor) can also read any discussion that occurs inside that Issue in Notes.

  • Simply add a Comment using a simple or enriched HTML Editor (Open editor).
  • Users can click on Refresh to see new comments; click on Show More or Show Less to see the number of comments they wish.

Only people and people in groups that are added in the “Send Notification to” field receive notifications in the Notifications Bar about these comments.

Add Project Requirements inside an Issue

Furthermore, users that have the right to view an Issue can also add Requirements of this Issue, in case this is relevant to a Project.Issues | Comidor Platform

  • Click on the + to add a new Requirement that may refer to a specific Project. A pop-up appears, where you may click on to select an already created project, set up a Title for the requirement, add the Code that refers to the Autonumber (per project), the Project Code, and the Date, choose Category, attach any documents from your Files and write down a Description. Press Create to proceed.
  • Alternatively, select an already set Requirement that exists inside a Project, to attach it here in that Issue, by pressing. A pop-up appears, prompting you to select one from the already-added Requirements and click on Link.
  • Being in the table of Requirements, you can Refresh the table to see the latest Requirement information; if it is fulfilled or not, its Code, Title, and in which Project has been set.

 

Massive Issues actions

  1. From the Packages Icon, go to Process Orchestration> Issues. A new Unit Action Tab opens with the name Issues.
  2. Then, in the List view of Issues, check multiple Issues, and perform actions upon them.Issues | Comidor Platform
    • Select multiple Issues and click on Delete to delete many Issues in one move. A check message appears in a pop-up window prompting you to be specific and check what Issues (and their sub-processes) you would like to delete. Choose between “Yes, delete all”, “Yes, but just those selected”, “No”.
    • Select multiple Issues and click on Link with to Link the Issues with a Comidor entity, such as another Process, Opportunity, Survey, Project, Account, Contact, Message, File, etc. or select Tag to apply multiple tags at once.
    • Select Print notes added on the discussion board of these Issues. Pop-up appears prompting you to select a timeframe of notes to report you are about to see/print.
    • Select multiple Issues from the list and click on Change state. A new pop-up window appears. Click to expand the list, select one state and click on Ok. Changes will occur.
    • Select multiple Issues from the list and click on the Change category. A new pop-up window appears. Click to expand the list, select one business category, and click on Ok. Changes will occur.
    • Select to Make a copy in Process Scheduling, to copy this Issue and transfer it to Process Scheduling unit, where you can set a repetition for it.
    • Click to Create Requirements for the selected Issue(s). A pop-up appears asking you to select an already added Project from your list, set up a requirement Code and then, a category for the Requirement.
    • Finally, click on Change Priority, to change the priority of the issue

Print and Export multiple Issues

In the Issues, the main view, click on the Actions button and select between Export or Print buttons in order to export or print the list of the Issues that you are viewing at that moment or all. You can also Update durations
